Position Summary
The Medical Records Clerk supports the Military Sealift Command (MSC) contract by performing a variety of administrative and clerical tasks to ensure the efficient operation of the medical office. This role is responsible for verifying, compiling, and managing medical documentation, maintaining data accuracy, and coordinating with healthcare personnel to ensure records are complete, timely, and compliant. This position requires strong attention to detail, organizational skills, and the ability to work in a fast-paced environment while maintaining strict confidentiality.

Key Responsibilities
• Compile, verify, and file medical records for Civilian Mariners (CIVMARs)
• Serve as a primary point of contact, providing excellent customer service to government stakeholders
• Communicate and collaborate with MSC medical personnel and internal teams
• Assist CIVMARs and applicants with medical requirements and clearance processes
• Prepare and maintain medical record folders and documentation
• Scan, copy, and digitize medical records and onboarding materials
• Maintain databases, reports, filing systems, and SOP documentation
• Process correspondence, including official communications via mail
• Identify and route incomplete or inaccurate records to appropriate personnel
• Maintain confidentiality in accordance with HIPAA (Health Insurance Portability and Accountability Act)
• Monitor workload and contribute to quality control reporting
• Order and maintain office supplies to support operations
• Communicate regularly with leadership regarding operations and issues
• Perform additional administrative duties as assigned

Minimum Qualifications
Education:
• High School Diploma or GED required
• Associate degree in Health Information Systems or related field preferred
Experience:
• Prior data entry experience required
• Minimum of one (1) year of clerical/administrative experience in a medical office setting required
Certifications:
• Ability to complete HIPAA training
• Ability to obtain a Secret Security Clearance

Work Environment & Physical Demands
This position operates in a professional healthcare or administrative office environment in support of a government contract. The role requires frequent interaction with healthcare providers, administrative staff, and stakeholders, as well as the use of computers, EMR systems, phones, and office equipment.
Physical requirements include prolonged sitting, frequent typing and data entry, occasional standing and walking, and the ability to lift up to 10–20 pounds. The role also requires visual focus, attention to detail, and extended screen time.
