The Role:

The Office Manager is responsible for the day-to-day operations of our Newton office. This role requires a consistent on-site presence Monday through Friday from 9:00 AM to 5:00 PM to ensure the office is fully supported during standard business hours.

This person ensures the space is organized, welcoming, and fully functional for our employees and guests. The Office Manager reports directly to the Market President and serves as a trusted partner in maintaining operational excellence.

Responsibilities:

Office & Facilities Management

  • Oversee daily operations of the Newton office.
  • Serve as the primary contact for building management and office vendors.
  • Manage office supplies, equipment, and inventory.
  • Coordinate maintenance, repairs, and service appointments.
  • Ensure the office remains professional, organized, and welcoming.

Administrative & Operational Support

  • Provide administrative and logistical support to care managers and local leadership.
  • Assist with scheduling and coordination for in-office meetings.
  • Support invoice tracking, vendor coordination, and expense submissions.
  • Manage mail, document handling, and shared office resources.

Meetings, Events & Employee Experience

  • Assist in planning and coordinating larger meetings, such as lunch and learns and All Hands meetings, including space booking, setup, and catering.
  • Prepare meeting spaces and support client-facing events as needed.
  • Partner with the People & Culture team to support interview logistics, candidate experience, company events, and employee recognition programs.
  • Support local team engagement initiatives and office-based celebrations.
  • Contribute to a positive and collaborative in-office experience.

Required skills / experiences:

  • 3+ years of experience in office management, administrative operations, or a similar role.
  • Strong organizational skills and attention to detail.
  • Comfortable juggling multiple priorities in a fast-paced environment.
  • Professional, responsive communication skills (written and verbal).
  • Strong judgment and discretion when handling sensitive information.
  • Reliable and proactive with a “see it, own it” mindset.
  • Experience in a client-facing, healthcare, or professional services environment is a plus.
  • Proficiency with common workplace tools (Google Workspace, Slack, scheduling tools, etc.)

In accordance with the Massachusetts Pay Transparency Act, the expected pay range for this position is $55,000 - $65,000 annually. Actual compensation may vary based on factors such as licensure, years of experience, and other relevant qualifications.
