We are seeking a Project & Sales Coordinator to act as the primary bridge between our customers, our sales leadership, and our engineering team. This is not a "cold-calling" sales role; it is a technical administrative and project management role focused on ensuring every customer inquiry, quote, and project is handled with precision and speed.

This is an in-office position at our factory in South San Diego (Otay Mesa). You will be the "hub" of the front office, ensuring that no lead or quote slips through the cracks.

Sales Coordination & Quote Tracking

• Lead Management: Monitor incoming inquiries via web, email, and phone; ensure all data is accurately entered into our CRM/JobBOSS system.
• Quote Follow-Up: Proactively contact customers via phone and email to provide status updates on pending quotes and verify receipt of technical data.
• Account Support: Act as a dedicated point of contact for existing customers regarding order status, lead times, and shipping updates.
• Database Management: Maintain and clean our customer database to support marketing outreach and re-engagement of old accounts.

Project & Engineering Support

• File Organization: Gather and organize customer CAD files, blueprints, and specifications for the Engineering team to facilitate accurate estimating.
• Scheduling: Coordinate technical meetings between customers and our Manufacturing Engineers.
• Marketing Assistance: Support the management team in sending monthly "Capabilities" updates and project spotlights to our customer base.

Internal Collaboration

• Work closely with the Manufacturing Engineer to ensure quotes are returned to customers on time.
• Assist the Management Team with administrative tasks related to ITAR and Defense industry compliance documentation.

• Experience: 3+ years in a fast-paced office environment. Experience in Manufacturing, Construction, or Industrial Services is a major plus.
• Software Skills: Proficiency in Microsoft Office (Excel/Outlook) and experience with CRM systems. Familiarity with JobBOSS / ECI is a significant advantage.
• Communication: "Polite but persistent" communication style. You should be comfortable picking up the phone to talk to customers and vendors.
• Organization: Extremely detail-oriented. You are someone who finds satisfaction in "clearing the inbox" and keeping files in order.
• Local Residency: Candidates living in South San Diego County are strongly preferred.

• Base Compensation: $24.00 – $28.00 per hour, depending on experience.
• Bonus Structure: Quarterly performance bonus based on quote-to-order conversion rates and administrative accuracy.
