POSITION SUMMARY
The Academic Operations Specialist provides operational and administrative support to two or more major academic departments. This role supports day-to-day academic operations by managing projects across multiple programs, coordinating with campus partners, and improving processes to ensure efficient and effective department operations. The position serves as a primary point of contact for core and adjunct faculty, teaching assistants (TAs), and research assistants (RAs).

This role requires flexibility to support departmental priorities, including occasional evenings and weekends.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide operational support for academic retreats, weekend intensives, and capstone projects
  • Plan, coordinate, and support academic events, conferences, workshops, and meetings
  • Serve as a primary point of contact for department chairs regarding logistics and operational needs
  • Coordinate logistics and travel for core faculty
  • Support faculty technology needs and coordinate training or technical assistance as needed
  • Collaborate with campus departments to support academic operations and initiatives
  • Process check requests and reconcile Emburse credit card transactions
  • Enter and maintain course and section data in Colleague
  • Coordinate the hiring and onboarding of teaching assistants and research assistants
  • Review and approve teaching assistant timecards
  • Hire, train, and supervise student workers supporting academic programs and events
  • Maintain program SharePoint pages and program manuals
  • Handle confidential information with discretion
  • Perform other related duties as assigned


Job Requirements:

REQUIRED QUALIFICATIONS AND/OR EXPERIENCE

  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Excellent written, verbal, and interpersonal communication skills
  • High attention to detail and follow-through
  • Ability to work independently and collaboratively in a team environment
  • Strong problem-solving skills and sound judgment
  • Adaptable and flexible in a fast-paced academic environment
  • Proficiency with Microsoft Office and ability to learn new systems quickly

MINIMUM QUALIFICATIONS

  • Bachelor's degree or equivalent combination of education and experience
  • Minimum of four years of administrative, operations, or academic support experience
  • Experience working with multiple stakeholders in a complex organization
  • Proficiency in Microsoft Office and Adobe applications

ENVIRONMENTAL DEMANDS

This role is primarily onsite and requires regular collaboration and interaction with others. Limited remote work may be permitted based on operational needs and management approval.

PHYSICAL ABILITIES

Frequent sitting and keyboard use. Occasional lifting of up to 25 lbs., bending, and reaching.

LOCATION/SCHEDULE

100% on campus. Limited remote work may be permitted as approved by management.



Additional Information:

WAGES AND BENEFITS

$70,304 to $75,000

  • Working Conditions Duties are primarily performed in an office environment at a desk or computer terminal, typically Monday through Friday.
  • Background Check Due to the sensitivity and requirements of this position, you should expect to undergo and be cleared of an employment background/criminal check, if extended an offer for employment. You may also be asked to provide proof of educational degree(s), licenses, or credentials pertinent to the position. If your job requires driving on behalf of CIIS you will be required to provide proof of a valid driver's license.
