About the Role
The Maintenance Administrator plays a vital role in supporting the efficient operation and upkeep of our facilities. This position provides comprehensive administrative coordination for the maintenance team by scheduling work, managing work orders, and maintaining accurate records of maintenance activities. The Maintenance Administrator acts as a central point of communication between maintenance staff, vendors, and internal departments to ensure maintenance needs are addressed quickly and effectively.
By organizing resources and tracking maintenance requests, this role minimizes downtime, supports workplace safety, and helps maintain overall facility functionality. The Maintenance Administrator contributes to operational excellence through strong documentation, communication, and process organization.
Minimum Qualifications
- High school diploma or equivalent required.
- Proven experience in an administrative or coordination role, preferably in maintenance, facilities, or a related environment.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Valid driver’s license with an acceptable driving record.
- Proficiency in Microsoft Office, especially Excel and Word.
Preferred Qualifications
- Associate degree or higher in Business Administration, Facilities Management, or a related field.
- Basic understanding of maintenance processes and technical terminology.
- Familiarity with safety regulations and compliance standards in a maintenance or industrial environment.
Key Responsibilities
- Coordinate and schedule maintenance activities and repairs to ensure timely completion.
- Create, manage, and update maintenance work orders, tracking progress through completion.
- Maintain accurate records of maintenance activities, equipment inventories, and service contracts.
- Communicate with maintenance staff, vendors, and internal departments to facilitate work requests and resolve issues.
- Assist with preparing reports related to maintenance operations, costs, and compliance.
- Order and manage inventory of maintenance supplies and equipment as needed.
- Support compliance with safety regulations and company policies related to maintenance.
