Infusion Authorization Assistant at Oncology Consultants P A – Medical Center, Texas
About This Position
The Infusion Authorization Assistant is responsible for managing and coordinating treatment authorizations to ensure seamless patient care. This role requires close collaboration with providers, infusion nurses, the authorization department, and other key stakeholders to facilitate timely approvals and scheduling for chemotherapy and non-chemotherapy treatments. The assistant plays a vital role in ensuring accuracy in treatment plans, verifying required documentation, and assisting patients throughout the authorization and scheduling process.
Authorization & Documentation Management:
- Monitor the Group Inbox consistently throughout the day to manage authorization requests efficiently.
- Verify that the treatment plan is entered correctly for all new start patients.
- Ensure that all necessary diagnosis codes are accurately documented.
- Confirm that all required medical records and supporting documents are available in the patient’s chart before submitting for authorization.
- Submit treatment authorization requests to the authorization department using the designated settings in the Group Inbox.
Coordination & Communication:
- Work closely with the Oncology Consultants Pharmacy (OCP) to ensure all oral medications are approved by insurance.
- Communicate with the clinic APP’s via the email group to arrange a date and time for chemotherapy education for the patient.
- Schedule pre-treatment laboratory tests as required.
- Coordinate and schedule all Cycle One, Day One treatments.
- Facilitate the authorization and scheduling of all non-chemotherapy drugs administered in the clinic.
Denial Management & Resolution:
- Review and address treatment denials by gathering additional required information.
- Notify providers of treatment denials and assist in obtaining new orders if needed.
- Communicate with the front office to arrange follow-up appointments for patients to discuss alternative treatment options with the provider.
Collaboration with Infusion Nurses & Patient Support:
- Coordinate treatment schedules with infusion nurses to ensure appropriate clinic availability.
- Serve as the primary point of contact for patients when scheduling new treatments.
- Utilize the language line when communicating with patients or family members who require translation services.
Qualifications:
· Education: High school diploma or equivalent required; some college coursework in healthcare administration or related field is preferred.
· Experience: Previous experience in healthcare scheduling or in an oncology practice is preferred. Experience with infusion therapies and oncology treatments is highly desirable.
· Skills:
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency with electronic medical record (EMR) systems and scheduling software
- Ability to multitask and manage multiple patient appointments simultaneously
- Knowledge of medical terminology, specifically in oncology, is a plus
- Ability to work in a fast-paced, dynamic environment
