Receptionist Social Media

Job Description

Reports to: Human Resource & Fiscal Manager

Supervises: n/a

Terms of Employment: Non-Exempt, 12-Month Employment

Position Purpose: To be the first point of contact for clients, visitors, and staff providing excellent customer services while also managing and creating content for the organization’s social media platforms. The role requires strong communication skills, organization, professionalism, and creativity.

Reception Duties

  • Be a reliable team member with regular, on-time attendance.
  • Greet and assist visitors, clients, and staff in a warm, courteous manner.
  • Answer and direct phone calls, take, messages, and respond to general inquiries.
  • Maintain a clean and welcoming front desk and lobby area.
  • Schedule appointments and maintain calendars as needed.
  • Manage office supplies and process ordering per protocol.
  • Assist with filing, data entry, and general administrative support.
  • Maintain a positive attitude and communicate needs or issues with supervisors on a regular basis.

Social Media Coordination

  • Create, schedule, and publish engaging content on various social media platforms in coordination with advertising and marketing goals of TCLC.
  • Monitor social media accounts for engagement, respond to comments and messages and notify management if needed.
  • Collaborate with staff to gather content such as photos and event details.
  • Maintain a social media calendar aligned with organizational goals.
  • Track performance metrics and provide monthly engagement reports.

Fiscal, HR and Family Service supports (not a fully inclusive list)

  • Do basic filing, mailing of billing and invoices.
  • Gather fiscal data such as W9s as needed.
  • Input basic data in excel spreadsheets and assist in tracking of fiscal measures as assigned.
  • Track student attendance and follow-up based on procedure.
  • Track and setup emails, logins, and security for building or programs under the direction of the Executive Director or HR & Fiscal Manager.

General Staff Responsibilities

  • Fulfill role as mandated reporter as stated in Child Abuse and Neglect Mandatory Reporting Policy.
  • Current enrollment in the Office of Child Care Central Background Registry.
  • Current physical examination, drug screen, and TB screen documentation upon hire.
  • Maintain confidentiality of staff and family information.
  • Respond appropriately to crisis or emergency situations as designated by program policies and procedures.
  • Assist team members, parents, and volunteers in maintaining an orderly, safe, and attractive center.
  • Communicate effectively with staff, families, children, and the public using the telephone and face-to-face, one-to-one, and in group settings.
  • Project a professional work image in both dress and manner.
  • Be present at work to provide consistency of services.
  • Demonstrate commitment and familiarity with mission, vision, goals and all policies.
  • Demonstrate willingness to learn and grow in own professional development which may include taking training, seminars, or conferences. Different positions may require specific training requirements.
  • Take on other projects and activities as assigned.
Requirements:

Educational Requirements

  • High School Diploma or GED.

Experience and Skill Requirements

  • One year of office experience and ability to operate office machines. Understand general office procedures.
  • Establish and maintain effective working relationships with individuals at all levels of the organization.
  • Strong knowledge of Microsoft Office and ease in adaptation to new technology.
  • Interpersonal, communication, facilitation, and conflict mediation skills.
  • Must be flexible, well-organized, and able to manage different projects concurrently and often under pressure; with ability to set priorities and manage time effectively.
  • Fluent in English both verbally and written.

Physical Requirements

  • Daily repetitive hand and wrist motions and maintain static arm-hand positions, via production/copying, keyboarding, phone work.
  • Sitting, kneeling on the floor, sitting in child size chairs.
  • Lift and move objects up to 40 lbs.
  • Maintain the safety of the environment and children through visual, auditory, and smelling senses.
