Position Summary:

The Referral Coordinator plays a vital role in supporting efficient specialty clinic operations and enhancing the patient experience. This position manages referral workflows, including maintaining specialty schedules and waiting lists, coordinating appointments, securing authorizations as needed, and completing post-visit follow-up. Serving as a key point of contact for families and specialty partners, the Referral Coordinator ensures clear communication, accurate documentation, and a consistently high standard of service.

Key Responsibilities:

  • Maintain ongoing tracking and appropriate documentation of referrals to promote team awareness and ensure patient safety.
  • Contact review organizations and insurance companies to ensure prior approval requirements are met. Present necessary medical information such as history, diagnosis and prognosis. Provide specific medical information to financial services to maximize reimbursement to the practice.
  • Review details and expectations about the referral with patients.
  • Assist patients in problem solving potential issues related to the health care system, financial or social barriers.
  • Ensure that referrals are addressed in a timely manner.
  • Ensure that patient’s primary care chart is up to date with information on specialist consults, hospitalizations, ER visits and community organization related to their health.
  • Manage documentation with a high level of accuracy and attention to detail.
  • Maintain strict confidentiality; adheres to all OSHA, HIPAA, and other federal, state, and local guidelines/regulations.
  • Demonstrate dedication to the mission, vision, values, and goals of the organization.
  • Regular and reliable attendance including attending monthly staff meetings.
  • Perform other duties as assigned.
Requirements:
  • High School diploma or GED
  • Minimum of one (1) year of experience in referral coordination, patient access, or healthcare operations, with demonstrated knowledge of scheduling workflows, insurance verification, and authorization processes
  • Ability to complete a required two-week training and onboarding rotation at our Hope Mills and Raeford clinic locations

Core Competency, Skills & Abilities

  • Knowledge of referral coordination, insurance verification, and prior authorization processes
  • Strong organizational skills with the ability to manage high-volume workflows
  • Excellent communication and customer service skills
  • Proficiency in EMR systems, medical scheduling software, and Microsoft Office applications
  • Understanding of payer guidelines and HIPAA compliance
  • Strong attention to detail and documentation accuracy
  • Effective time management and ability to prioritize in a fast-paced environment
  • Problem-solving skills and ability to remove barriers to care
  • Must have the aptitude and ability to self-direct work
