Position SummaryThe Assistant Property Manager supports the Property Manager in overseeing the operational, financial, and client service functions for a portfolio of office buildings. This role helps ensure properties are maintained in a safe, compliant, and cost-effective manner while delivering high levels of customer service to tenants, vendors, and ownership. The Assistant Property Manager serves as a key liaison between the client, vendors, contractors, and internal teams while assisting with budgeting, capital planning, compliance tracking, and day-to-day property operations.
Key Responsibilities
Property Operations & Portfolio Support
- Assist with daily operations across multiple office properties
- Conduct routine property inspections and coordinate corrective action
- Support capital improvement projects and major repair coordination
- Assist with preventative maintenance planning and tracking
- Maintain accurate property records, vendor documentation, and compliance files
- Support emergency response coordination and after-hours property issues
- Oversee and track tenant service requests and work orders
- Coordinate vendor scheduling, site access, and project timelines
- Ensure vendors maintain required credentials including insurance, licenses, and compliance
- Monitor vendor performance and service quality
- Assist with procurement of bids and vendor contract negotiations
- Serve as a primary contact for client service requests and property-related communication
- Communicate service updates, project scheduling, and property notices
- Maintain strong client relationships
- Assist Property Manager with client reporting and ownership communication
- Prepare operational and billing reports
- Track open work orders and maintenance performance metrics
- Maintain organized digital and physical property records
- Associate or bachelor’s degree preferred (Business, Real Estate, or related field)
- 1–3 years of experience in property management, facilities coordination, or administrative support
- Familiarity with property management software (Yardi, Building Engines/Prism, or similar)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities across a portfolio of properties
- Proficiency in Microsoft Office (Outlook, Excel, Word)
- In office with some travel to sites required
- May require limited after-hours availability for urgent property matters
- Fast-paced environment supporting healthcare operations
