ROLE DESCRIPTION & RESPONSIBILITIES
GENERAL DESCRIPTION:
The Marketing Coordinator supports execution of marketing initiatives, proposal development, and sales enablement activities that drive pipeline growth. This role ensures marketing efforts are delivered efficiently while maintaining strong alignment with sales and revenue objectives.
DUTIES AND RESPONSIBILITIES:
Sales Enablement
- Maintain sales document repository
- Execute marketing plans, campaigns, and content updates
- Maintain marketing materials, collateral, and databases
- Lead the end-to-end RFP and bid process from intake to submission
- Review RFP requirements and develop a clear response strategy and timeline
- Manage proposal calendars, deadlines, and deliverables
- Coordinate bid/no-bid decisions with leadership
Proposal Development and Support
- Support development of client presentations and pitch materials
- Prepare teams for oral presentations or interviews
- Align messaging across written proposals and live presentations
- Track marketing performance, pipeline activity, and ROI
- Maintain reporting for campaigns and lead generation
- Develop compelling, client-focused proposals aligned with win strategy
- Translate technical, operational, and pricing inputs into clear, persuasive narratives
- Tailor responses to reflect client needs, industry trends, and competitive positioning
- Ensure proposals highlight value, differentiation, and brand strengths
- Establish and improve proposal processes, workflows, and tools as needed
- Train and guide team members on proposal process
Content Management & Quality Control
- Ensure brand consistency across all materials and communications
- Maintain and update a proposal content library (templates, case studies, resumes, boilerplate)
- Ensure all submissions are accurate, compliant, and high quality
- Review proposals for consistency, tone, branding, and completeness
- Manage version control and final packaging
- Collaborate with finance and leadership on pricing strategy and structure
- Ensure alignment between scope, pricing, and client expectations
- Support development of competitive and profitable bids
Compliance & Risk Management
- Improve workflows and tracking systems for marketing activities
- Ensure proposals meet all RFP requirements and submission criteria
- Identify and mitigate contractual or commercial risks
- Coordinate with legal or leadership on terms and exceptions
- Maintain compliance with internal policies and external regulations
Marketing Execution, Event & Coordination Support
- Maintain external content, sites and updates
- Develop newsletters, PR content, and marketing materials
- Coordinate events, sponsorships, and conferences with Client Engagement Team, Sales and other cross functional teams as needed
- Support compelling, client-focused narratives that clearly communicate value
- Develop and maintain case studies, project profiles, and client success stories
- Create reusable marketing collateral for proposals and business development
- Build and manage a content library (boilerplate, resumes, visuals, testimonials)
- Ensure messaging reflects market trends, client needs, and competitive positioning
- Create and align win themes, key differentiators, and positioning strategy
- Ensure proposals tell a cohesive story from start to finish
Performance Tracking
- Support logistics and travel coordination for sales initiatives
- Track win/loss data and proposal performance metrics
- Lead post-submission debriefs to identify improvements
- Continuously refine proposal processes, templates, and strategies
- Stay informed on market trends, competitors, and client expectations

KEY SELECTION & SUCCESS FACTORS
WORK EXPERIENCE:
- 5+ years of experience in marketing, communications, or related field
- Experience supporting proposals, sales enablement, or campaign execution preferred
- Experience in a fast-paced, deadline-driven environment preferred
EDUCATION REQUIREMENTS:
- Bachelor’s degree in Marketing, Communications, or related field preferred
- Equivalent work experience may be considered
PREFERRED QUALIFICATIONS:
- Strong written and verbal communication skills with attention to detail
- Experience with digital marketing tools, social media platforms, and content management
- Ability to manage multiple priorities and meet deadlines in a dynamic environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with Adobe Creative Suite (Illustrator, Photoshop, InDesign) preferred
- Basic understanding of web content management and marketing analytics
- Strong organizational and project coordination skills
- Ability to work independently while collaborating cross-functionally
- High attention to detail and commitment to quality deliverables
