Job Functions:

The Volunteer Services Coordinator builds and supports Metropolitan Ministries’ volunteer pipeline through hands-on coordination and execution. The role focuses on recruiting, onboarding, training, placing, and retaining volunteers to meet program and administrative needs across the organization. Responsibilities span year-round operations and Metro’s high-volume holiday season, including volunteer office support, delivery of a consistent and welcoming volunteer experience, presentations and tours, and execution of volunteer programs for individuals and groups, FTE and specialized programs, community-based programs, and events

Essential Responsibilities:

VOLUNTEER PROGRAM EXECUTION (YEAR ROUND AND HOLIDAYS)

  • Coordinate and execute volunteer activities that support meaningful service opportunities throughout the year and during peak holiday operations.
  • Recruit, orient, schedule, and support volunteers to ensure assigned programs and events are adequately staffed.
  • Carry out assigned responsibilities related to the seasonal holiday volunteer experience, following established timelines, procedures, and expectations.
  • Accept assignment to one or more volunteer program areas or provide support to other Coordinators based on organizational needs and priorities.

Volunteer Program Areas May Include:

  • Individual Volunteer and Volunteer Group Engagement: Support and coordinate volunteer participation from individuals and groups such as businesses, corporate teams, churches, schools, civic organizations, families, and community partners.
  • Full time Equivalent (FTE) & Specialized Programs: Support mission aligned programs including On the Job Training (OJT), AARP skill sharing, court mandated service, Return to Work/light duty roles, and other specialized volunteer programs by assisting with placement, coordination, and tracking.
  • Community Based Program Support: Assist with onboarding and coordinating volunteers who support Metro’s community based programs in partnership with internal teams and local partners.
  • Events & Special Initiatives: Support volunteer coordination for major events and initiatives such as Bridge Builders, Tampa Bay Food Fight, Metro Immersions, NALC Stamp Out Hunger, community drives, media events, and VIP activities.

VOLUNTEER EXPERIENCE, PRESENTATIONS, & CAMPUS TOURS

  • Serve as a welcoming point of contact for volunteers by providing clear information, professional interactions, and a positive first impression of Metropolitan Ministries.
  • Assist with or deliver New Volunteer Orientations and campus tours on a regular basis, ensuring volunteers understand expectations and next steps.
  • Provide timely follow up communication to help volunteers connect to appropriate service opportunities.
  • Participate in volunteer recognition and appreciation activities that support engagement and retention.
  • Work collaboratively with teammates to support broader volunteer and donor experience goals.

VOLUNTEER OFFICE COORDINATION & PROCESSES

  • Support daily volunteer office operations by providing courteous customer service and maintaining an organized, welcoming environment.
  • Use the Volunteer Management System to enter and maintain accurate volunteer records, schedules, and activity information.
  • Assist volunteers in navigating the Volunteer Management System by providing basic guidance and support.
  • Work with internal staff to identify volunteer needs and translate those needs into clearly defined volunteer roles and schedules.

CULTURE AND ETHICS

  • Support daily volunteer office operations by providing courteous customer service and maintaining an organized, welcoming environment.
  • Use the Volunteer Management System to enter and maintain accurate volunteer records, schedules, and activity information.
  • Assist volunteers in navigating the Volunteer Management System by providing basic guidance and support.
  • Work with internal staff to identify volunteer needs and translate those needs into clearly defined volunteer roles and schedules.

INDUSTRY KNOWLEDGE

  • Support daily volunteer office operations by providing courteous customer service and maintaining an organized, welcoming environment.
  • Use the Volunteer Management System to enter and maintain accurate volunteer records, schedules, and activity information.
  • Assist volunteers in navigating the Volunteer Management System by providing basic guidance and support.
  • Work with internal staff to identify volunteer needs and translate those needs into clearly defined volunteer roles and schedules.
Requirements:

Education and Experience:

Friendly, customer service experience required. Minimum A.A. or A.S. degree, preferably in social sciences or business fields, and at least 1 year demonstrated experience in volunteer coordination/management, customer service, hospitality management, public relations, or relevant field is highly desired. Attention to detail, relationship-building, and public speaking are required for Essential Responsibilities outlined.

Skills Requirements:

Excellent written and oral communication skills, including phone presence. Must be able to communicate effectively in English. Ability to plan and organize work and handle job-related matters in a professional manner. Critical thinking, problem-solving, and good time management skills are necessary. Must be able to work well under pressure and meet deadlines. Demonstrate proficiency with computer, office equipment, and volunteer support, recruitment, and management software preferred. Web-based research tools and Microsoft Office products knowledge required, including Excel and Outlook. Must be able to work independently and as a team player. Solution-focused and customer service mindset is necessary.

Requires heart for ministry and comfort working with poor and homeless families and individuals. Requires understanding of poverty, a high degree of maturity, strong inter-personal skills, and the ability to work with low socio-economic and diverse populations facing crisis situations in a professional and diplomatic manner. Knowledge of community resources available to homeless population. Must demonstrate maturity and sensitivity to issues of faith, culture, and other sources of diversity. Ability to work as part of a team within a multi-disciplinary framework.

Physical Requirements:

Ability to stand and sit for long periods of time. Must be able to operate all components of a computer for several hours at a time. Physical, emotional, and spiritual stamina to handle job-related issues and stress.

Other:

Must pass applicable pre-employment screening and demonstrate legal authorization to work in the United States. Available to work Saturdays throughout the year to support program needs. Ability to accommodate a flexible work schedule, including evenings and weekends, and particularly, but not limited to holiday months (October-December) and to support special events.
