Title: Procurement Specialist

Job Summary: The Procurement Specialist is responsible for sourcing materials, managing supplier relationships, and executing purchasing activities to support production and project delivery for Big Top Manufacturing. This role ensures timely procurement of materials, cost competitiveness, and alignment with project schedules while maintaining accurate purchasing data within the ERP system.

The Procurement Specialist partners closely with the Purchasing Manager, operations, engineering, and project teams to support efficient supply chain execution and drive continuous improvement in vendor performance and cost management. This position reports to the Purchasing Manager and is located on-site in our Perry, Florida office.

Essential Duties & Responsibilities:

Procurement Execution

· Source and procure materials, components, and services to support production and project timelines.

· Issue and manage purchase orders from creation through delivery and receipt.

· Ensure accuracy of pricing, specifications, and lead times within the ERP system (Acumatica).

· Coordinate with operations to manage inventory levels and avoid shortages or excess stock.

Vendor Management

· Develop and maintain relationships with key suppliers.

· Track supplier performance including pricing, quality, and on-time delivery.

· Resolve issues related to delays, quality concerns, or order discrepancies.

· Assist in onboarding and qualifying new suppliers.

Strategic Sourcing

· Identify and execute cost savings opportunities through negotiation and sourcing alternatives.

· Support RFQ processes and evaluate supplier bids.

· Assist in developing sourcing strategies across key categories (steel, electrical, fabric, etc.).

· Monitor market trends and communicate pricing or supply risks to leadership.

Cross-Functional Collaboration

· Partner with engineering, operations, quality, and project teams to align on specifications and timelines.

· Support project-based procurement planning and scheduling.

· Communicate supply risks and recommend mitigation strategies.

Systems & Reporting

· Maintain accurate procurement records and documentation in ERP system.

· Track key metrics such as cost savings, supplier performance, and purchase price variance.

· Support reporting and data analysis to improve procurement visibility and decision-making.

· Other duties as assigned.

Required Skills & Abilities:

· Experience working with an ERP/MRP system required (Acumatica preferred).

· Strong analytical skills and proficiency in Microsoft Excel.

· Strong negotiation and vendor management capabilities.

· Ability to manage multiple priorities in a fast-paced, project-based environment.

· High attention to detail with strong organizational skills.

· Effective communication skills with both internal teams and external vendors.

Education & Experience:

· Bachelor’s degree in Supply Chain, Business, or related field preferred

· 3–6 years of procurement, purchasing, or supply chain experience (manufacturing preferred)

· Experience sourcing direct materials such as steel, electrical components, or industrial goods preferred

· Experience in project-based or custom manufacturing environments is a plus

Physical Demands:

· Must be able to accurately exchange information with internal team members, vendors, and customers

· Occasionally moves files and boxes of records weighing up to 20 lbs.

· Constantly operates a computer and office equipment

· Ability to remain in a stationary position for extended periods
