About This Position
Sun City Lincoln Hills Community Association is seeking a highly organized and detail-oriented Administrative Coordinator to provide confidential administrative support to the Executive Manager and assist the Board of Directors, standing committees, community standards, and membership services. This role includes coordinating committee meetings, preparing agendas and minutes, posting notices, and supporting communication between staff and committee members. The position also provides administrative support for community standards by assisting with resident correspondence, maintaining accurate records, and ensuring timely follow-up of cases. Additionally, the coordinator will support membership services and events, including new resident orientations and monthly publications, while managing office administration tasks such as ordering supplies, processing invoices, responding to resident inquiries, and handling general clerical duties. The ideal candidate is a strong communicator, highly organized, able to manage multiple priorities, and committed to delivering excellent service in a collaborative, community-focused environment.

Required Qualifications
Education and Certifications
• High school diploma or equivalent required.
• 3–5 years of progressively responsible administrative support experience, preferably in a community association, municipal, or nonprofit setting.
Preferred Qualifications
• Coursework or certification in business administration, communications, or related field preferred.
• Notary Public certification or willingness to obtain is a plus.
• Familiarity with Robert’s Rules of Order and the Davis-Stirling Act preferred.
Knowledge, Skills, and Abilities
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat. Comfortable working with digital tools and community management databases or software. Strong written and verbal communication skills (English), with excellent grammar and proofreading ability. Demonstrated customer service focus and ability to respond calmly and tactfully in a resident-facing environment. Detail-oriented with strong organizational and time management skills. Ability to manage multiple priorities with accuracy under tight deadlines.
Physical Requirements
Involves sitting, standing, and/or movement throughout the office. Must be able to operate computers, printers, telephones, and other standard office equipment.
Regular activities include bending, lifting (up to 25 lbs.), grasping, pushing, pulling, and reaching. Must be able to communicate clearly and effectively in English, both verbally and in writing. Must be able to work extended hours, including weekends and holidays, as needed. Must be able to visually read documents and communicate via telephone.
Work Environment
Must be able to work constructively and cheerfully in high-stress or adversarial situations. Must be able to manage multiple priorities with frequent interruptions, changes, and delays. Work takes place both in an office environment and, occasionally, outdoors in varying weather conditions.
