Looking for a role where your organization, multitasking, and people skills truly make a difference? Join our team supporting mental health and substance use programs, where every detail you manage helps improve lives.
As our Office Specialist, you’ll be the engine that keeps our programs running smoothly. From coordinating schedules and supporting staff, to managing records and organizing key events—you’ll play a critical role in ensuring our teams can focus on what matters most: serving individuals in our community.
What You’ll Do:

- Keep daily operations running efficiently with strong administrative support
- Maintain accurate electronic records and manage multiple priorities with ease
- Coordinate meetings, trainings, interviews, and special events
- Support onboarding to create a welcoming experience for new hires
- Facilitate clear communication across teams, including scheduling and updates
- Manage purchasing, inventory, and basic financial processes
- Help oversee office resources, transportation coordination, and program supports (including food pantry efforts)
- Deliver professional, responsive customer service to staff and community partners

Required Qualifications:
Vocational/Educational Requirement: Requires a high school diploma or GED/HSE and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.
Experience: In addition to satisfying the vocational/education standards, this class requires a minimum of one year of full-time equivalent experience in administrative support.
Special Certifications and Licenses: Requires a valid driver’s license and driving record in compliance with City Driving Standards.
Special Requirements: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Emergency operations support work and work locations may be outside of normal job duties.
