This role sits at the heart of scientific storytelling and healthcare communications, supporting the delivery of high-impact medical communication programs for pharmaceutical and biotech clients. You will coordinate multiple concurrent projects, ensuring timelines, deliverables, and cross-functional workflows remain aligned in a fast-paced agency environment. Acting as a key operational connector, you will help manage medical, legal, and regulatory processes while supporting client communications and internal coordination. The position offers exposure to scientific content, strategic project execution, and collaborative teamwork across creative, scientific, and operational teams. It is ideal for someone highly organized, detail-oriented, and energized by managing complexity. You will contribute directly to the successful execution of programs that help translate complex science into clear, credible narratives that improve patient outcomes.
- Coordinate and track multiple medical communications projects simultaneously, ensuring timelines, deliverables, and dependencies are clearly managed across teams.
- Support and manage the medical/legal/regulatory (MLR) submission process, including documentation, tagging coordination, and client status updates.
- Organize and facilitate internal and client meetings, including scheduling, agenda preparation, note-taking, and action tracking.
- Assist with project financial and administrative tasks, including invoice review, reconciliations, and required reporting such as Sunshine Act documentation.
- Coordinate with logistics and external vendors to support meeting planning, including venue sourcing, travel arrangements, catering, and AV needs.
- Maintain accurate project documentation, assignment reports, and communication materials to ensure alignment across stakeholders.
- Provide ongoing project updates to internal teams and clients while proactively identifying risks, delays, or workflow challenges.
- Bachelor’s degree in advertising, marketing, communications, journalism, or a related field preferred; equivalent academic backgrounds considered.
- 0–2 years of experience in a client service, agency, or project coordination environment, including internships.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Project) with high computer literacy.
- Excellent written and verbal communication skills with strong attention to detail and organizational ability.
- Ability to manage multiple priorities in fast-paced, deadline-driven environments while maintaining accuracy and structure.
- Familiarity with project timelines, scheduling, or marketing coordination workflows is a plus.
- Self-starter mindset with problem-solving skills and the ability to anticipate workflow challenges.
- Competitive compensation within a range of $41,600 – $62,400 USD depending on experience and location.
