About the Role

The Case Aide provides operational, administrative, and field support to the HS/PRS team to ensure timely, compliant service delivery. This role supports timely, compliant movement of cases from acceptance through closure by coordinating information flow and maintaining clean records. You work closely with Program Support and the Program Coordinator, and you collaborate with internal programs to facilitate appropriate internal referrals and seamless handoffs. This role is fast-paced, and must be able to work with the leadership team.

What You’ll Do

  • Monitor the UC Portal and PRS App throughout the day for new cases, updates, and action items; accept cases and initiate intake immediately.
  • Send same-day case assignment emails and acceptance memos (weekdays and weekends) to internal teams and partner contacts.
  • Maintain the live HS/PRS tracker and other program trackers; issue daily updates; reconcile discrepancies with assigned staff.
  • Create MyEvolv profiles on the day of acceptance; ensure upload permissions; complete closures in-system and send required closure emails.
  • Prepare and manage Blue Folders; keep files audit-ready; secure and lock storage daily.
  • Prioritize aged-out or time-sensitive cases; escalate and fast-track supports.
  • Coordinate internal referrals and warm handoffs with POH and LTFC; track outcomes and follow-through.
  • Work closely with Program Support and Travel Coordinator to align coverage, travel, and staff support.
  • Conduct home visits as needed; step in to support caseworkers to maintain timelines and continuity of care.
  • Keep cases organized across systems and paper files; follow naming, filing, and closure protocols.
  • Assist supervisors and the Program Director with assigned duties (meeting prep, minutes, data pulls, training logistics) and other tasks as needed.
  • Provide after-hours, weekend, and holiday coverage for urgent portal acceptances, assignments, travel coverage, and time-sensitive documentation; participate in on-call rotations as assigned.

Your Qualifications

  • High School Degree accepted. Associate’s degree preferred and 1+ year supporting children, youth, or families; Bachelor’s in social work, psychology, human services, or related field preferred
  • Experience in immigrant services, child welfare, case management, school-based services, or community programs is a plus
  • Bilingual English/Spanish preferred (read, write, speak; professional email/phone etiquette)
  • Able to work after hours, weekends, and holidays; willing to participate in on-call/coverage rotations
  • Comfortable conducting home visits and traveling across regions (car or plane) as needed; reliable transportation required
  • Proficient with Microsoft 365 (Outlook, Teams, Excel, Word); quick to learn case management tools (UC Portal, MyEvolv); strong email and tracker hygiene
  • Strong attention to detail; able to keep audit-ready digital and paper files and follow naming/closure protocols while juggling shifting priorities
  • Clear, professional written and verbal communication; capable of time-sensitive emails, memos, and stakeholder updates
  • Strong judgment and compliance focus: maintains confidentiality, follows ORR timelines/policies, escalates risk promptly
  • Collaborative: works well with Program Support, Program Coordinator, and caseworkers; coordinates internal referrals with POH and LTFC
  • Cultural humility, trauma-aware approach, steady under pressure, solutions-oriented

Work Environment

This hybrid role requires three in-office days and two remote days per week. Evening, weekend, and holiday availability may be required to support urgent travel coordination, time-sensitive case assignments, or program deadlines. This position involves frequent communication with staff across multiple states.

Position Type/Expected Hours of Work

This is a full-time position. While the program primarily operates Monday through Friday from 9:00 AM to 5:00 PM, The case aid will frequently need to be available after hours, on weekends, or during holidays to address program needs and availability and ensure coordination to support family needs.
