Details:
  • Full-Time, 40 hours per week
  • Monday - Friday, 8 am - 5 pm
JOB SUMMARY: Schedules new patient, old patient/new injury, office visits, MRI’s in an accurate, efficient, timely and supportive manner using departmental and SMC policies and procedures as guidelines. Takes ownership for the prior authorization process for spine surgeries and other related imaging and/or treatment procedures ordered by Stillwater Medical and other designated physicians, to be performed at Stillwater Medical Facilities. Is knowledgeable regarding insurance prior authorization requirements and shares information with Provider, Clinic and CBO teams, as needed. Obtains prior authorizations for spine surgeries. Monitors scheduled procedures for those that require prior authorization; coordinates the PA process with other team members. Communicates with Stillwater medical physician clinics regarding the status of prior authorizations; initiates peer-to-peer if necessary. Trains new clinic staff on PA process as needed. Is knowledgeable in the registration process for all inpatients and outpatients and performs the preservice data requirements efficiently and accurately by entering the required information into the Stillwater Medical Patient System. Uses the telephone, fax, computer, software and face-to-face client contact when carrying out responsibilities. Applies medical knowledge and previous clinical experience when performing the job responsibilities, as well as when raising questions and making critical decisions regarding scheduling requests. Applies initiative to support obtaining assessing, delivering and/or filing required scheduling documents. Resolves and discrepancies between the verbal encounter request and the written encounter request with assistance of supervisor or designee. Support the pre-registration and pre-certification process by obtaining critical, accurate patient demographic and billing information, as well as resolves many of the “quick turn-around” authorizations/verifications required for patients who have been worked into the schedule, as time permits. Keeps the clinic staff informed of situations needing attention. Immediately raises potential billing issues to supervisor of designee. Performs responsibilities in a professional, caring and compassionate manner when interacting with both internal and external clients. Uses good customer skills when conversing with patients (face-to-face and over the phone) and presents a professional image of Stillwater Medical. Provides and explains all required documents to the patient and answers their questions. Is knowledgeable in pre-payment collection and payment options. Uses initiative to maintain responsibilities and to solve scheduling, registration, and prior authorization-related problems. Keeps ancillary departments informed of problems. Delays and other situations that could impact the delivery of efficient, competent, and compassionate care. Supports new employee training efforts and coaches’ colleagues as appropriate. Keeps supervisor and or designee informed of patient complaints and resolutions of problem situations. Participates in performance improvement and CQI activities and fill sin as assigned. QUALIFICATIONS:
  • High school graduate or equivalent
  • Ability to communicate effectively, both verbally and in writing
  • Demonstrates excellent customer service skills
  • Ability to receive and comprehend and follow verbal and written instruction for office routines and policies
  • Minimum of 3 years previous experience in clinical scheduling, registration, and prior authorization.
  • Ability to understand insurance benefits and perform basic mathematical tasks
  • Knowledge of medical terminology is helpful
  • Understand the ethics of confidentiality
  • Basic computer knowledge and ability to type at least 40 wpm
PHYSICAL REQUIREMENTS:
  • Must have adequate perception of sounds or adequate hearing with corrections.
  • Adequate vision, or correctable with glasses/contacts, to prepare reports and read written materials.
  • Able to work in latex burdened environment
  • Able to speak clearly and distinctly with staff, physicians, patients, and families
  • Able to hear to converse with others on the phone
  • Demonstrates adequate stamina to deal with stressful situations and to complete the necessary work schedule
  • Able to stand/walk for extended periods of time throughout the work schedule, with some lifting and bending.
  • Possess fine motor skills and hand/eye coordination to manage office equipment
