Compensation: Non-exempt, $23.47/HR - $33.54/HR

Job Summary:
The Clinic Scheduling Representative is responsible for scheduling all routine and non-routine medical services with various healthcare providers. This includes entering the appropriate diagnostic testing, demographics, and insurance information into the electronic medical record to facilitate patient care and billing integrity. Clinic schedulers help to ensure that patients flow through the scheduling and registration systems as quickly and efficiently as possible while also ensuring that all fiscal and clinical procedures are followed in a constant manner. Provides a “Patients First” experience and supports a positive workplace by maintaining an upbeat and professional work environment while completing all assigned tasks in a timely and accurate manner.

Job Specific Duties & Responsibilities:

  1. Schedules procedures utilizing the scheduling system following established protocols that promote physician satisfaction and scheduling efficiencies.
  2. Answers incoming calls in a timely and professional manner; handles or reroutes calls as appropriate to ensure customer needs are met as efficiently as possible.
  3. Verifies insurance eligibility and obtains necessary authorizations for services.
  4. Coordinates urgent scheduling directly with the appropriate triage team or assigned physician.
  5. Answer and retrieves EMR data in an accurate and timely manner.
  6. Maintains a welcoming, calm and professional environment at all times.
  7. Provide support to all new and existing employees in job shadow functions as it relates to scheduling duties.
  8. Works collaboratively with team members within the scheduling center and with co-workers within the clinics and hospital. May float to other locations to assist during periods of high volumes or for cross training purposes. Participates in organizational engagement/quality/process improvement activities. Assists in the training of new employees, following established standards.
  9. Other duties as assigned.


Required Education and Experience:

  1. High school diploma or equivalent.
  2. One (1) year of clerical/medical office experience preferred

Required Knowledge, Skills and Abilities:

  1. Knowledge of filing and record keeping practices.
  2. Knowledge of HIPAA regulations and requirements; ability to apply regulations and policies as required to ensure proper handling of confidential patient records and to explain the law and our privacy policy to patients.
  3. Ability to maintain all records in good order and to keep appropriate documentation of access to medical records.
  4. Demonstrated accuracy and attention to detail, ability to set priorities and maintain an organized work environment.
  5. Ability to work in a self-directed manner to accomplish assigned tasks in accordance with District policies and procedures.
  6. Ability to follow directions and to work quickly and efficiently in an environment that includes varying workloads and interruptions. Ability to work collaboratively with co-workers and providers.
  7. Proficient in the use of current technology, including Microsoft Office products. Demonstrated keyboarding and data entry skills and ability to enter data quickly and accurately. Type >40 WPM
  8. Professional and effective written and verbal communication skills. Ability to communicate effectively with patients, co-workers, and providers and to maintain composure in stressful circumstances.
  9. Strong Telephone and verbal skills, along with active listening (confirming & clarifying information). Ability to operate telephone system and to answer and handle a high volume of calls in a timely and professional manner.
  10. Ability to follow established protocols, key understanding of urgent/emergent guidelines and STAT scenarios.
