About This Position
Description:
The Program Specialist II provides support across agency programs, including legal advocacy, peer counseling, crisis response, and administrative functions. This position delivers a wide range of office support services, including reception duties, data entry, volunteer coordination, and general program assistance. The role works closely with the Program Director and other staff to ensure smooth program operations and high-quality services for clients and volunteers.
Volunteer Coordination & Support- Assumes responsibility for coordinating the volunteer program, including recruitment, training, scheduling, and supervision of volunteers
- Assists the Program Director with volunteer trainings, including the 80-hour Domestic Violence/Sexual Assault training
- Conducts monthly in-service meetings for volunteers
- Provides ongoing communication, training, resources, and support for volunteers
- Collaborates with staff to develop meaningful volunteer roles that meet program needs
- Coordinates the crisis line calendar to include volunteer coverage
- Provides oversight and supervision of volunteers working within the agency
- Offers ongoing support, counseling, debriefing, and conflict resolution for volunteers
- Organizes and facilitates volunteer recognition activities and events
- Ensures volunteer-provided services align with agency mission, values, and grant requirements
- Assists with administrative coordination of volunteers, including schedules, outreach, communication, and training logistics
- Maintains volunteer files and ensures required documentation is up to date
- Tracks volunteer participation and hours; prepares monthly volunteer reports for leadership
- Assists legal advocates in supporting survivors with restraining orders and custody paperwork
- Serves as a liaison between clients and community resources or partner agencies
- Accompanies and transports clients to medical, law enforcement, or court appointments as needed
- Provides court support, including acting as a court escort and sharing general information about the criminal justice process
- Assists during mediation processes when needed
- Prepares correspondence on behalf of clients to service providers
- Provides legal advocacy services in rural areas as required
- Mentors' clients in writing their own correspondence when appropriate
- Attends public policy meetings and multidisciplinary case staffing as assigned
- Greets clients and visitors at the front desk
- Answers phones, assesses needs, and routes calls appropriately
- Types correspondence, reports, and forms
- Assists with bulk mailings and copying projects
- Ensures client files and intake paperwork supplies are maintained
- Performs routine data entry tasks
- Responds to victims of crime in a trauma-informed manner consistent with agency mission and values
- Assesses immediate needs and lethality for walk-in clients, crisis calls, and callouts during business hours
- Answers crisis line calls, provides referrals, and completes required documentation
- Responds to requests for advocacy from clients, law enforcement, medical facilities, or partner agencies when appropriate and safe
- Provides advocacy and accompaniment services, ensuring appropriate releases are signed
- Maintains professionalism when working with clients and community partners
- Communicates with law enforcement and other agencies to secure services and promote client safety
- Maintains strict confidentiality of client information
- Conducts follow-up contact with clients for safety planning and resource connection
- Responds to after-hours and weekend crises through rotating on-call coverage
- Reviews staff data entries weekly in both database and paper formats
- Inputs and reviews client statistical data daily
- Generates reports for the Program Director as needed
- Assists with maintaining and updating data collection tools as grant requirements change
- Updates website and social media platforms as requested
- Assists with preparation of outreach materials and program-related articles
- Maintains volunteer files and documentation
- Tracks and documents required Human Relations trainings for staff and volunteers
- Performs other administrative duties as assigned
- Serves as a liaison with community groups and provides presentations as needed
- Assists with community events and awareness activities, including prevention and advocacy campaigns
- Assists with donation intake, documentation, donor database entries, and thank-you correspondence
- Supports coordination of donor and community support groups for agency events
- Assists with fundraising events
- Supports data collection and reporting efforts
- Adheres to agency mission, values, and ethical standards
- Represents the agency professionally within the community
- Maintains strict confidentiality of all client and agency information
- Performs other duties as assigned within the scope of the position
Qualifications and Education Requirements
Knowledge of:
- Reception techniques and customer service
- Domestic violence and sexual assault
- Crisis intervention and counseling techniques
- Skills and knowledge of multiple computer applications (excel, word, internet, etc.)
Ability to:
- Communicate effectively orally and in writing with individuals and groups
- Interact with good customer service skills
- Work effectively under conditions of limited supervision, high stress, and rapidly changing situations and circumstances
- Organize and prioritize a variety of job duties and assignments
Education/Experience:
- High school diploma/GED preferred
- Complete 40 hours of domestic violence and 40 hours sexual assault counselor training upon hire
Physical Requirements:
- Facility to see, read, and distinguish instructional material, rules, and policies, and other printed material
- Facility to hear and understand speech at normal room levels, and to hear and understand speech on the phone
- Physical agility to lift and carry up to 20 pounds, and to bend, stoop, walk, and reach overhead
- Physical agility to push/pull, squat, twist, and turn
- Mental acuity to perform the essential functions of this position in an accurate, neat, timely fashion; to make good judgements and decisions, and to evaluate the results of decisions and judgements
