Job Description
The Human Resources Administrative Assistant provides critical administrative and operational support to the HR function. This role helps ensure efficient HR service delivery by supporting employee lifecycle processes, maintaining accurate records, coordinating onboarding and offboarding activities, and managing day-to-day HR administrative tasks. The ideal candidate is highly organized, detail-oriented, and capable of managing confidential information while adapting to evolving business needs.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
HR Operations & Administrative Support:
- Monitor and manage the HR shared inbox, responding to inquiries and routing requests appropriately
- Provide general administrative support including scheduling, document preparation, and file management
- Process and track HR expenses, invoices, and credit card transactions
- Coordinate ordering of office supplies and internal resource requests
- Support employee engagement activities such as recognition efforts
Employee Records & HRIS Administration:
- Maintain and update employee records in HRIS (Paylocity)
- Process employee lifecycle changes including status updates and terminations
- Support digitization and maintenance of personnel files
- Generate standard and ad hoc HR reports
Talent Acquisition & Onboarding Support:
- Assist with candidate pre-screening and interview coordination
- Support onboarding workflows and new hire communications
Employee Experience & Offboarding:
- Schedule exit interviews and assist with offboarding
- Support employment verifications (VOEs) and unemployment documentation
- Coordinate employee access items such as badges
HR Programs, Communications & Compliance:
- Maintain HR documentation including handbook and organizational charts
- Support compliance audits and documentation needs
- Contribute to process improvements within HR operations
EDUCATION:
- Minimum of high school diploma or equivalent
- Associate’s or Bachelor’s degree preferred
EXPERIENCE:
- 1-3 years of applicable Administrative or Human Resources experience preferred
KNOWLEDGE / SKILLS and ABILITIES:
- People oriented with an attitude to serve others
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Ability to maintain confidentiality
- Proficiency in Microsoft Office
- Experience with HRIS systems preferred
- Strong communication and customer service skills
- Adaptability in a changing environment
OTHER:
- Born again believer and must adhere to the doctrines of this organization as upheld by Kenneth and Gloria Copeland and their appointed representatives
- Must work well with others, as a team and according to Romans 16:17, must not cause dissension, difficulties and divisions
- Must maintain a good attendance record
- Because of the wide range of personal contact with ministry leaders within and outside the organization, this position requires considerable diplomacy, maturity, and excellent communication skills
- Ability to work with people of all cultures
EQUIPMENT TO BE USED:
General office equipment including; computer, telephone, copier, printer, scanner, shredder.
TYPICAL PHYSICAL DEMANDS:
- Must be able to sit at a computer for a minimum of nine hours per day
- Requires manual dexterity sufficient to operate standard office machines
