Senior Executive Operations Assistant (WFH)

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Executive Operations Assistant (WFH) based in the United States.

This is a high-impact remote support role designed for a highly organized and proactive professional who thrives in fast-moving executive environments. You will act as a key operational partner to senior leaders, ensuring their time, priorities, and communications are managed with precision and foresight. The role blends executive assistance with operational coordination, project tracking, and stakeholder management. You will play a critical role in keeping leadership workflows efficient, structured, and aligned across multiple priorities. This position requires strong anticipation skills, allowing you to resolve issues before they arise and keep business operations running smoothly. You will collaborate with internal and external stakeholders while maintaining a high level of professionalism and confidentiality. It is ideal for someone who enjoys structure, ownership, and supporting high-performance leadership teams in a remote setting.

Accountabilities:
  • Manage complex executive calendars, scheduling priorities, and time optimization for senior leaders.
  • Proactively anticipate conflicts, protect focus time, and ensure smooth day-to-day executive operations.
  • Coordinate domestic and international travel arrangements, itineraries, and logistics end-to-end.
  • Prepare executive communications, presentations, agendas, and supporting materials for meetings.
  • Capture key meeting notes, action items, and ensure timely follow-up and execution tracking.
  • Support leadership meetings, recurring operations, and cross-functional coordination activities.
  • Assist in project coordination, tracking deliverables, and maintaining operational visibility.
  • Manage communication flow between internal teams, executives, and external stakeholders.
  • Maintain accurate documentation, business processes, and operational systems.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Identify operational inefficiencies and proactively recommend or implement improvements.
Requirements:
  • Minimum 5 years of experience as an Executive Assistant, Executive Operations Assistant, or similar senior support role.
  • Proven experience supporting senior leaders, executives, founders, or C-level teams.
  • Strong expertise in advanced calendar management, scheduling, and executive prioritization.
  • Experience coordinating domestic and international travel arrangements.
  • Excellent written and verbal communication skills.
  • Strong ability to manage multiple stakeholders and competing priorities in fast-paced environments.
  • Experience in project coordination, operational support, and workflow management.
  • Proficiency with modern collaboration and workplace tools (Google Workspace, Slack, Zoom, etc.).
  • Strong organizational, time management, and problem-solving capabilities.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Ability to work independently in a fully remote, fast-paced environment.
  • Preferred experience supporting US-based leadership teams or C-suite executives.
  • Familiarity with tools such as Asana, Microsoft Teams, HubSpot/Zoho, Canva, or similar platforms is a plus.
