Job Description

Credence Fine Dining Administrative Assistant

At Credence, we're not just serving food; we're crafting an experience. Credence is a South Texas ranch-inspired, upscale dining concept exploring Levi Goode's perspectives on South Texas’s food, people, and culture. Sidebar, an exclusive reservation only speakeasy-style cocktail bar draws inspiration from the early-1900s Texas oil boom and will be discreetly connected to Credence. With Credence and Sidebar, we're reshaping the landscape of fine dining and mixology, and we want you to be a part of it.

Key Responsibilities

Administrative Operations

  • Manage daily office operations and maintain an organized office environment.
  • Maintain restaurant files, records, reports, and employee information.
  • Process and enter invoices accurately and timely.
  • Assist with accounts payable documentation and vendor communications.
  • Order and maintain office supplies, uniforms, POS materials, menus, and operational supplies.
  • Monitor office equipment and coordinate repairs or maintenance as needed.
  • Assist management with administrative projects, reporting, and documentation.

Payroll & Workforce Administration

  • Review employee time edits and job code assignments within Toast and other workforce management systems.
  • Assist management with payroll preparation and accuracy verification.
  • Support employee record maintenance and personnel file organization.
  • Maintain and track required certifications, including Food Handler permits, TABC certifications, and other compliance requirements.
  • Generate reports and communicate upcoming certification expirations to management.

Recruiting & Onboarding

  • Coordinate new hire onboarding processes.
  • Ensure all onboarding paperwork is completed accurately and submitted on time.
  • Schedule orientation and assist with new employee setup.
  • Support hiring managers with applicant communications and interview scheduling.

Vendor & Guest Support

  • Ensure deliveries are received and put away promptly.
  • Maintain vendor records and support invoice reconciliation.
  • Monitor online guest reviews and guest feedback platforms - report to management team.

Communication & Compliance

  • Maintain strict confidentiality regarding employee, financial, and company matters.
  • Keep restaurant leadership informed of administrative activities, concerns, and operational issues.
  • Assist with compliance audits, documentation reviews, and operational reporting.
  • Support adherence to company policies, procedures, and regulatory requirements.

Qualifications

  • 2+ years of administrative, office management, or restaurant operations experience preferred.
  • Strong organizational and time management skills.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Experience with Toast, payroll systems, or restaurant management software preferred.
  • Excellent verbal and written communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Professional demeanor with strong customer service skills.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to work in a fast-paced restaurant environment.
