Job Description
Job Summary:
The primary role of the Business Office Assistant is to provide support in regard to non-technical duties throughout the Business Office department. This role is an entry-level position, providing experience for later opportunities within the Business Office.
Essential Duties and Responsibilities:
Answer Phones
- Provide information for patient inquiries, if unable, forward call to appropriate person, or take a message.
Correspond with External Facilities
- Send operative reports and demographic sheets to external facilities.
Maintain Dictation Transmitting Process
- Ensure prior office visits have encounter forms and correct dictation.
- Fix errors or blanks on operative reports.
Prep Surgical Reports
- Stamp operative reports.
- Acquire operative reports from external facilities.
- Prepare surgery charge sheets.
- Pull operative reports for insurances requiring claims to be submitted with documentation.
Review Schedules
- Go through all upcoming office visits for the following day.
- Ensure insurance is on file.
- If a patient has an unpaid balance, make a note for the front desk staff to obtain payment.
- Ensure all self-pay accounts have payment arrangements in place.
Scanning
- Scan Explanation of Benefits into the system, along with other documentation.

- Communicate name and role to patient.

- Perform other duties as directed/required, to ensure efficient operations of Premier Bone & Joint Centers.

Confidentiality
- Observe confidentiality of information in regards to patients, physicians, and fellow employees; ability to maintain confidentiality under HIPAA standards.
Attendance/Punctuality
- Maintain a good attendance record and arrive to work punctually.
- Utilize established time clock system appropriately.
Overtime
- Able to substantiate overtime, minimize overtime and adjust hours as needed.
Cell Phone Use
- Cell phone may be used for business purposes only.
- Utilize cell phone for personal use only during breaks or meal periods out of the public eye.
Care of Environment, Equipment, and Supplies:
Clean, Neat, Safe Environment
- Maintain a clean, neat, and safe environment for patients and staff, including personal work areas.
Office Equipment Skills/Malfunctioning Equipment
- Utilizing correct/safe technique when using equipment and notify manager of malfunctioning equipment.
Education:
- High School Diploma or Equivalent - Required
Experience:
- Experience in Healthcare Setting - Preferred

- Hearing - Must be able to hear well enough to communicate with patients, physicians, medical staff, administrative staff, insurance companies, and co-workers - Constant

Unique Work Schedule/Travel
- May be required to work after hours, on weekends, or holidays.
- May be required to provide services outside the clinical setting (i.e. at University or High School athletic events), or travel to offices throughout the state.
