The Role:
We are looking for our next Assistant Account Executive to join our Torrance, CA office and become an integral part of our Business Management team. What You Will Do:
- Receive, review, and process vendor invoices in the accounting software while following established company procedures for documenting purchases.
- Review credit card statements and balances, including processing high-volume statements with numerous monthly entries.
- Ensure efficient and timely processing of all transactions with client vendors.
- Perform coding tasks, generate purchase orders, and manage requisition deliveries in accordance with company purchasing policies, ensuring accurate automated reporting.
- Maintain professionalism and confidentiality to protect sensitive financial information.
- Support the Account Executive with high-volume Accounts Payable functions such as check runs, month end reconciliations, spending analysis, and audits.
- Analyze invoice discrepancies and conduct research to identify and resolve underlying issues.
- Verify the accuracy of all disbursements and recommend procedural improvements to prevent future errors.
- Uphold integrity and transparency in financial documentation and promptly report any suspected misappropriation of funds.
- Set up new vendors in the accounting software and maintain an organized electronic filing system.
- Establish and maintain client General Ledger codes.
- Enter all Accounts Payable transactions into the accounting software.
- Maintain Accounts Payable schedules.
- Enter all Cash Receipts into the accounting software.
- Book investment statements and client payroll as directed.
- Reconcile bank statements
- Enter and process client credit card statements through the credit card module.
- Conduct monthly General Ledger reviews in collaboration with the Account Executive.
- Perform other related duties as assigned.
What You Need To Succeed:
- A high school diploma or a GED is required.
- The candidate must demonstrate strong mathematical acumen.
- The candidate must possess professional, written, and verbal communication skills.
- The role requires analytical and problem-solving skills to manage Accounts Payable processes.
- The candidate must be competent in Microsoft applications, including Word, Excel, and Outlook
- The candidate should be self-motivated and have excellent organizational skills.
- Strong verbal and written communication skills are essential.
- Attention to detail and the ability to multitask are valuable assets.
- Strong organizational and problem-solving abilities are required.
- The candidate must have exceptional interpersonal skills.
- A friendly and professional demeanor is expected.
- The candidate must be able to work well within a team and contribute when needed.
What Will Set You Apart:
- An associate degree or a bachelor’s degree in accounting or another business-related field is preferred. Candidates should have one or more years of experience working in a Business Management environment.
- One or more years of experience in an Accounts Payable department is preferred.
- One or more years of experience using QuickBooks, Eton, or AgilLink is beneficial.
- The ability to speak Spanish is a plus
Physical Requirements:
- The role requires standing, walking, crouching, and lifting up to 15 pounds.·
- The position involves frequent use of hands as well as reaching with hands and arms
- The employee will regularly be required to talk, hear, see, and sit.
- The work environment may involve a moderate to loud noise level.
Salary Range: The salary range for this role is ($55,000 - $65,000) and represents the firm’s good faith and reasonable estimate of the range of compensation at the time of posting. Actual compensation will be dependent upon several factors, including but not limited to, the candidate’s relevant experience, qualifications, and location.
